Time Tracking · Spanish Labour Law

Time tracking that actually understands the Spanish HORECA agreement.

If you run a restaurant in Spain you need a clock-in record (RD-Ley 8/2019) auditable for the Inspección de Trabajo. Generic European HR software does not understand split shifts (jornada partida), public-holiday surcharges, the Spanish HORECA collective agreement or how tronc / propinas are taxed. Crewly does.

Per-active-employee pricing from €4/month. No setup fee.

Why your global HR SaaS is hurting you in Spain

Many groups with foreign owners try to use international HR platforms (Personio, BambooHR, Deel) for their Spanish kitchens. Three months in, the gestoría calls and asks for things the platform cannot export.

Split shifts (jornada partida)

Most kitchens work 11:00-16:00 and 19:30-00:00. Crewly understands two clock-ins per day on the same shift, with the legal pause in between, and the right rest computation.

Spanish public holidays

National, regional (CCAA) and local holidays auto-loaded for your venue’s postal code. Surcharges (typically 75% extra under HORECA agreements) computed automatically.

HORECA collective agreement

Workforce categories (Jefe de cocina, Camarero, Ayudante…), legal max hours, minimum rest between shifts and overtime rules per the convenio HORECA of each CCAA.

Auditable for Inspección de Trabajo

Each clock-in is logged immutably with timestamp, geolocation (optional) and IP. Generates the official quarterly report the labour inspector will ask for.

Multi-venue, multi-employer

If you run several venues under different legal entities (a common Spanish setup) Crewly tracks hours per CIF separately. The same person can be employed by Venue A on Tuesday and Venue B on Saturday.

Payroll export to gestoría

Exports the format expected by the typical Spanish gestoría software: A3, Quipu, Holded, SAGE Despachos. Your accountant will love you.

How clock-in works for the staff

Tablet at the till

Single iPad or Android tablet, employee taps face + 4-digit PIN. Works offline.

Mobile app

For kitchens with personal phones or for field staff (events, catering). Geofenced clock-in available.

Biometric

Optional fingerprint or face-recognition tablet for venues that want zero-cheating clock-in.

Frequently asked questions

Does Crewly comply with RD-Ley 8/2019?

Yes. RD-Ley 8/2019 obliges every employer in Spain to record the start and end of each working day. Crewly stores this immutably and generates the report the Inspección de Trabajo requests during an audit.

Will it work with my existing payroll software?

Yes. Native exports to A3 (Wolters Kluwer), Quipu, Holded and SAGE Despachos. CSV export available for any other system. Most gestorías process it without manual intervention.

Can the platform handle propinas (tips)?

Yes. You can configure how propinas are pooled (tronc) and split among shifts, then export the breakdown to your gestoría. Tips are tax-treated according to current AEAT rules.

Do employees need a smartphone?

No. The most common setup is a single tablet at the till that everyone clocks into with face + PIN. Personal phone is optional for staff who want it.

What about the upcoming reform of digital time tracking?

The Ministry of Labour is preparing a reinforced digital time-tracking obligation (expected in 2025-2026) requiring online accessibility for the labour inspector. Crewly is already designed for that scenario — biometric, immutable, online and exportable.
